Getting started

Your calendar

See your own tasks and shared company work in one calendar.

Open Calendar from the sidebar. The calendar combines your personal entries with shared work you have permission to see.

When Wiki scheduling is enabled, choose Schedule Wiki content to find a saved article you can edit. Propose publication time sends the saved draft and time for review. A space owner or reviewer then chooses Approve scheduled publication or Request changes. If your space requires a different reviewer, you cannot approve your own proposal. Changing the draft or time clears approval. You can also open Review article schedule in the Wiki editor; both places show the same schedule and outcome.

Choose Day or Week for an hourly timeline. All-day items and deadlines appear above the timeline. Month shows the full month; select a date or a “more” link to open that day. Agenda lists work by date and shows tasks that have no date yet.

Select Create, give the entry a title, and choose an event, task or milestone. Use All day, At a time, or a task with No time block. Check the timezone before saving. Repeating entries are available under Repeat & organise.

A task can have a separate Due date as well as a work block. Moving the work block keeps that deadline. Deadlines appear above the hourly timeline.

In Day or Week, drag an editable entry to move it in 15-minute steps, or drag its bottom edge to change its duration. Review the proposed time, then choose Save new time. You can also select its Move or Resize control with the keyboard, or open Move date / time in its details. A repeating item moves only for that occurrence. Moving automatic work requires another review before it runs.

New entries are private to you. Managers can share with selected people, selected locations or, when permitted, everyone in the company. Assigning a task lets that person mark it complete. Other managers cannot open your private entries.

Search or filter by location, source, your own items and completed items. Open an entry for its details. If someone else changes it while you are editing, reload before saving again.

More filters includes category, person and status. Filters remain in the link when you reload or share it; each person still sees only their permitted items. In Agenda, use Load more tasks to continue through the unscheduled list.

Use Save view to keep a personal combination of filters. Calendar preferences lets you choose your display timezone, default view and remove saved views. All-day dates stay the same when you change the display timezone.

For repeating entries, Edit occurrence changes one instance and Edit series changes the series. Completing or cancelling an occurrence leaves the other dates in place. Week view also offers a Monday–Friday work week.

Connected app items show an Open in link. Use the source app for its specialist workflow, such as completing a required form or changing a roster. A calendar task does not reserve a room, publish a website page or send a campaign by itself.

If website scheduling is enabled for your company, choose Schedule website content to find a saved page and set its publication time. Open the page to review the draft, then confirm the draft and time before scheduling. You can change or cancel that schedule from Calendar or from Review publication schedule in the page editor. Changes to the saved draft require another review. Failed accessibility checks, changed permissions or a delay over 15 minutes block publication for review.

When your company has AI connected, Calendar assistant can help you find work, make personal reminders and update calendar entries within your access. Always check the dates, timezone and audience it proposes.

When Marketing scheduling is enabled, choose Schedule Marketing content and select a saved campaign. Choose one send, a recurring campaign or event reminder waves, then Propose schedule. Review the saved content and audience in Marketing, select Review approval, and resolve any warnings before choosing Approve campaign schedule. Launch scheduled campaign is a separate step.

You can use the same controls through Review campaign schedule in Marketing. To edit content, cancel its schedule first; the campaign returns to a draft. Moving or cancelling preserves sent messages. Delivery respects consent, quiet hours and recipient limits, so individual messages may go out later than the planned time. If a delivery needs verification, check its final provider outcome and record the evidence before resolving it. It will not automatically resend.

Calendar campaign delivery supports email and SMS. An audience that is too large to check completely will show an error instead of being partially scheduled. Offer codes need an active location you can access. If approval succeeds but a code could not be created, repair it in Marketing before launching.

Delivery summaries distinguish queued, partly delivered, failed and completed work. No eligible recipients means that occurrence had nobody to send to. Previously delivered means its sent history was preserved when the schedule changed. Future recurring sends remain on the calendar after earlier sends complete.

Choose Notifications for your personal inbox. You can mark notices read or unread, or snooze them for an hour or a day. Snooze postpones the inbox notice and any delivery that has not started; it does not change the entry or resend an email that already went out.

In Notification preferences, choose the in-app inbox, email and browser push. Set advance reminders, an all-day reminder time and quiet hours. Expand Choose notifications by activity to mute individual kinds of updates or put their email/push notices into a daily or weekly digest. Inbox updates are immediate. Provider availability appears beside the channel choices.

To receive push, choose Connect this browser and allow notifications when your browser asks. Also enable the Browser push channel and save your preferences. Test this browser checks local notification display. You can disconnect a listed browser at any time. Email and lock-screen notices use a generic message; sign in to see the entry's details.

Open a native entry's Notifications for this entry to follow or unfollow it and optionally choose custom advance reminders. Ownership or assignment normally subscribes you; viewing a shared company item does not subscribe everyone.

A company owner or unrestricted administrator can enable or pause company notifications under Company notification availability. Each person retains their own preferences. Optional email and push remain unavailable until delivery has been configured for the platform and allowed for the company.

Choose Google Calendar to see connection availability. When connections are enabled, Continue to Google connects your account after two-factor verification. Then choose individual calendars and confirm their direction and visibility. Personal imports stay private. Busy times only hides titles, descriptions and locations; choose event details only when you want to store those details here. Company-managed imports can be shared with the company or selected locations by an unrestricted administrator.

Imported events show their Google origin. Google retains control of invitations and unsupported recurring schedules. Account settings show the last sync and whether syncing needs attention. Pause connection hides its imported events and stops future sync work. Google integration is being rolled out; unavailable connections do not affect your existing Mavos calendar.

Open a Google event and choose Review Google event to edit a supported event on a two-way connection. For recurring events, select one occurrence or the complete series. Review the cancellation scope before confirming cancellation. Repeat rules and invitations remain managed in Google.

Queue Google change saves a pending request. It becomes confirmed after Google accepts it and sync finishes. If Google changed in the meantime, compare both versions, then keep Google's version or explicitly submit your reviewed proposal. An uncertain result is checked before another change is sent.

In account settings, Review pending Google changes keeps unresolved work reachable even when its event has disappeared. Check Google result again checks the outcome without resending your proposal. Resume connection checks Google permissions again before its imports reappear.

Copying a Mavos entry into Google

Open an entry and choose Show in Google. You will see exactly what the copy will disclose before you confirm. A calendar set to show only busy time copies the time and nothing else — no title, description or notes. Who an entry is assigned to, who can see it and any automatic work attached to it are never copied.

Only entries you can change can be copied, and a private entry can only go to your own connected account, never to a shared one. Tasks, milestones and any entry that runs automatic work are copied as a clearly labelled Mavos item: changing or deleting that copy in Google does not change your Mavos schedule or stop the automatic work. Those changes are shown for review instead.

If the same entry is changed in both places before a copy is sent, nothing is overwritten. Both versions are kept so you can choose. Stop copying leaves the existing Google copy in place, while Stop copying and remove the copy takes back only the copy Mavos created. Neither one cancels or deletes your Mavos entry.

Once an entry is copied, changes you make to it in Mavos are sent to Google automatically. For a repeating entry, a cancelled occurrence disappears from the copy and a moved or renamed occurrence is updated on that day. If someone changes a single occurrence in Google, Mavos leaves their change in place rather than overwriting it.

When someone edits an ordinary copy in Google, the copy is marked for review. After reviewing both versions you can choose Use Google's version in Mavos to update the Mavos entry's title, notes and time to match, or Restore the Mavos version to put the copy back. Labelled Mavos items, busy-only copies and changes to a repeat rule can only be changed in Mavos.

Disconnecting a Google account

In Google Calendar, choose Disconnect on the account. Choose whether to Remove the copies Mavos made in Google or Leave the copies in Google, then confirm with Disconnect account. Its imported events disappear from your calendar straight away and any Google changes still waiting to be sent are cancelled. Your Mavos entries are never changed or deleted.

Mavos removes only copies it made itself, and only while they are unchanged. A copy that someone has since edited in Google, or one Mavos could not confirm, is left where it is. When that happens the account stays in the list with a note of how many copies were left, so you can tidy them up in Google; choose Dismiss when you are done. Disconnecting deletes the access Mavos stored for the account. It does not sign you out of Google or change other services connected to it.

When notifications are on for your company, your notification inbox also tells you when a connected account needs reconnecting or when copies were left behind. These notices only appear inside Mavos and link to the account's settings.
