Reports
End-of-day cash-up, revenue, GST, tender summaries, staff performance, and accounting exports.
Where to find reports
Open Reports in the main menu for your location. Live trading numbers (today's sales as they happen) live on the Dashboard at the top of the sidebar; the Reports section is for reconciling, reviewing, and exporting.
Your dashboard
The Dashboard shows today's trading by default — sales tiles, hourly sales, prep times, discount performance, your product mix, and device status. Use the From/To dates (and the channel filter, if enabled) at the top to look at any range.
Managers can press Customize on the Dashboard to make it their own:
- Start from the standard dashboard turns the built-in layout into editable widgets — rearrange them, rename them, resize them, or remove the ones you don't use.
- Widgets can be set for the whole company (owners and admins) or just one location (managers), and each can be locked so it always stays visible for everyone below — handy for the numbers you want every manager watching.
- Anything not locked can be hidden from your own view without affecting anyone else.
- You can also choose which filters appear on the dashboard for your team.
- Press Add with AI and describe the widget you want in plain English — "average order value by day for the last two weeks" — and the assistant shows you a live preview before anything is saved. The Widget gallery on the Customize page has ready-made widgets you can add with one click.
- Use the Compare to filter to see how the period stacks up against the previous period or the same time last year — the sales tiles show green/red change badges.
- Some widgets link straight through to the matching Orders page for the same date range.
Alerts
Ask the AI for an alert — "email me if refunds go over $200 today" — and it will watch the number hourly and email you when it crosses your threshold (at most once per cooldown, so no inbox floods). Managers can pause or remove alerts from the Customize page.
Custom reports
Under Reports → Custom reports anyone on your team can build their own reports:
- Press New report with AI and describe what you want — "my top 10 customers by spend", "refunds by staff member, sortable by amount".
- The assistant shows a live preview. Ask for changes until it's right.
- Save it. Everyone can save personal reports; managers can also save reports for a location or the whole company, and lock the important ones so they always appear for the team.
Saved reports open with date (and channel) filters, sortable columns, and a CSV download for Excel or Sheets. The Templates row offers ready-made reports — using one saves it straight to My reports.
Emailed reports
Open any report and press Add schedule to have it emailed automatically — daily (covers yesterday), weekly (the last 7 days), or monthly (the previous month), at the hour you choose in your location's timezone. Recipients get the report as a table in the email plus a link to the live version. Requires your email provider to be set up under Settings.
Save a chat answer as a report
When the Data assistant answers a question with a table, press Save as report on the result — the Dashboards assistant turns that exact query into a saved, filterable report.
End of day
The End of day report is your daily close-out:
- Open Reports → End of day for the business date you're closing.
- Run the preflight check. It flags anything that needs attention first — like tills that haven't been counted or orders still open. Blockers must be resolved (or force-closed by an admin) before the day can lock.
- Review the snapshot — sales, tips, tax, tenders, and the cash variance between counted and expected cash.
- Close the day. This locks the books for that date so the numbers can't silently change underneath your accounting.
- Press Download Xero CSV to get the day's journal ready for your accounting software.
If something genuinely needs fixing after a day is closed (say, a late refund), the adjustment is tracked separately under Adjustments to closed days, so the original report stays intact. The page also keeps your past 30 reports one click away.
Cash-up variance
Reports → Cash-up variance shows till counts versus expected cash per device over any date range — the quickest way to spot a drawer that's repeatedly over or short. Daily till counting itself happens on the POS; see Payments and till.
Revenue and accounting (P&L)
Reports → Accounting (P&L) breaks revenue down by account code with a Xero-ready CSV download. Map your products and categories to account codes under Settings → Accounting — sales, tax, tips, refunds, processor fees, surcharges, gift card liability, and more each flow to the account you choose, so the export drops straight into your ledger.
GST / tax
Reports → GST totals the tax collected by business date — exactly what you need at BAS time (or your local equivalent). Your default tax rate is set under Settings → Organisation.
Tenders
Reports → Tenders gives a daily breakdown by payment type — cash, card, gift card, and store credit. Use it to match card totals against your Stripe payouts and cash totals against your banking.
Money taken and money refunded are shown separately, not netted against each other, with a Net column for what actually stayed. A quiet trading day and a busy day with heavy refunding produce very different figures that would otherwise look identical. Refunds appear against the payment type they went back out on. Comps aren't included — they move no money.
Staff activity
Reports → Staff activity attributes sales, refunds, and voids to each staff member, based on who was signed into the POS with their PIN. Useful for performance reviews and for keeping an eye on refund/void patterns.
Exporting to Xero and other accounting software
- The End of day and Accounting (P&L) reports both produce CSV files formatted for Xero import.
- The same files open in Excel or import into other packages — they're plain CSV.
- Set up your account code mapping once under Settings → Accounting and every export uses it automatically.
Tips
- Close every trading day, even quiet ones — gaps make month-end reconciliation harder.
- If your card totals don't match Stripe, check the Tenders report for the day and remember payouts arrive on Stripe's schedule, not the trading date.
