Menus and availability
Organise your menu with categories and tags, schedule when items are sold, and price by time or demand.
A well-organised menu sells better. This article covers the tools under Products for structuring your menu and controlling when — and at what price — items are available.
Areas, categories and tags
Open Products → Categories & tags — the same page is also reachable under Settings → Categories & tags. It manages the three ways you organise products, each as its own searchable, sortable table showing how many products use every row:
- Areas group products by where they belong operationally — a grill station, a bar, a department. Areas feed kitchen-screen routing, reporting, and the Area filter on your product lists. An area can apply to just this location, or be shared across every location in your business.
- Categories group your menu — Coffee, Mains, Desserts. Each product belongs to one category, and categories drive the page layout in your kiosk, QR, and POS apps (see App builder).
- Tags are flexible, colour-coded labels you can attach to any number of products — "Vegan", "Gluten free", "Spicy", or operational tags used for kitchen routing.
Click any row to open it: rename it, change its colour (areas and tags) or which locations it applies to (areas), then add or remove the products assigned to it — search for a product and pick it, or remove one with its ✕. Changes to the product list are applied straight away; Save is for the row's own details.
Deleting an area takes it off the products that used it — the products themselves aren't touched. Deleting a category or tag that's still in use warns you first, since it's removed from every product that has it.
Availability schedules and time windows
Some items shouldn't be sold all day — breakfast until 11, happy hour 4–6. Open Products → Availability. The page is organised into tabs by the kind of thing you're scheduling, so you only ever see the settings that apply:
- Menu schedules — recurring time windows for everyday menu items (breakfast, happy hour).
- Sessions — start times for booked, time-slotted products such as classes or tours.
- Tickets — availability for ticketed products such as events and entries.
- Multi-day — availability and pricing for stays and hires that span several days (see below).
- Blocks — one-off closures that black out specific dates or times (see below).
To build a menu-times schedule:
- On the Menu schedules tab, choose New schedule and name it (e.g. "Breakfast").
- Add one or more time windows: pick the days of the week and a start and end time, like 06:00–11:00. Use Add window for multiple windows in one schedule.
- To wrap past midnight (a late-night menu), set the end time before the start time — e.g. 22:00 → 02:00.
- Save schedule, then link products to it from each product's form.
Products without a schedule simply follow the location's opening hours (Settings → Hours) — including split service, since your hours can hold several named windows per day (e.g. Lunch and Dinner). If you delete a schedule, its products fall back to opening hours too.
Blocks: closing out dates and times
Use the Blocks tab to black out times when something can't be sold or booked — a public holiday, a private event, a maintenance day, or a one-off early close. A block can apply to:
- Everything — close the whole location for the chosen dates or times.
- A single product — take one item off the menu for a period without deleting it.
- A resource — make a specific room, table, or piece of equipment unavailable.
- A schedule — pause a particular schedule while leaving everything else running.
Blocks sit on top of your normal schedules, so you don't have to unpick a recurring schedule just to handle a single closed day.
To see every block affecting a date range in one table — filtered by resource or product — open Schedule → Blocked in the main menu.
Multi-day pricing calendar
Products that are sold by the night or by the day — rooms, sites, hires — get a per-day pricing calendar on the Multi-day tab, similar to how a hotel prices its rooms:
- Set your standard nightly rates by weekday — for example, a higher rate on Friday and Saturday than Sunday to Thursday.
- To charge a special price on particular dates — peak season, school holidays, a long weekend — click a date, or click and drag across a range, and set the price for those days.
- Special-priced dates are highlighted on the calendar so you can see your peak and off-peak periods at a glance.
The calendar handles the whole year, so you can set holiday and peak-season rates well in advance and let them apply automatically.
Hiding vs disabling unavailable items
When an item is outside its schedule or has been 86'd, you choose how customer menus treat it. Go to Settings → Checkout → Unavailable products:
- Show greyed out with an "Available at…" caption — customers see the item exists and when it returns. Good for menus where browsing matters.
- Hide entirely from the menu — the item disappears until it's available again. Good for short menus or one-off specials.
For day-to-day sellouts, the quickest path is the register itself: open More → Sold-out mode, enter a manager PIN, and tap the tiles that have run out — see Taking orders. It's the same on/off switch, so a manager can also use 86 (mark unavailable) from the row menu on the Products list, and Mark available when it's back — see Products and modifiers. Bookings, passes and memberships can only be taken off sale from Products, because turning one off stops future dates being booked, not just today's.
Price rules: time- and demand-based pricing
Price rules adjust a product's price automatically. They're especially powerful for bookable products — weekend rates, early-bird pricing, surge pricing as a session fills. Open Price rules in the sidebar and choose New rule:

Each rule applies one effect: set an exact price, adjust by a fixed amount, or adjust by a percentage. The adjusted price flows through everywhere automatically — POS, kiosk, QR, and online bookings — so staff never need to remember the Friday rate.
For percentage- and code-based money off at checkout (rather than list-price changes), use Discounts instead.
