Importing documents
Bring existing PDFs, docs and notes into Wiki with the Import documents wizard, and review what the AI produces.
Importing documents
If you already have policies, manuals or training notes sitting in PDFs or documents, you don't have to retype them into Wiki by hand. The Import documents wizard reads them and turns them into structured wiki pages for you.
Starting an import
Open a space and choose Import documents (also offered as a shortcut on a brand-new, empty wiki). You can:
- Upload files — PDF, Word documents, Markdown or plain text, one at a time or as a batch.
- Paste text — for content you don't have as a file, just paste it straight in.
Before starting, you'll be asked to confirm you have the right to use these documents — only import material you're authorised to bring into the company's wiki.
Once started, the import runs in the background: it extracts the text, works out a sensible page structure for the batch (splitting or grouping content where it makes sense), and generates a page for each topic. You can watch progress per file on the import screen and come back to it later — there's no need to keep the tab open.
Where the results land
What happens to the generated pages depends on the space:
- Importing into an empty or near-empty space — pages land as working drafts, ready to review and publish through the space's normal approval process. This is the fastest way to get a new wiki off the ground.
- Importing into a space that already has content, or a strict-review space — pages land as suggestions instead, so an existing reviewer signs off before anything changes what's already there.
Either way, the original file is attached to the page it came from, so you can always check back against the source document.
Reviewing what came in
Imported pages go through the same review steps as anything else in Wiki — see Getting started for how drafts, suggestions and publishing work. If pages landed in the AI inbox as suggestions, open the inbox to accept, edit then accept, or dismiss each one. Dismissing a suggestion means it won't come back.
A note on consent
Only import documents you have permission to use, and be mindful of anything containing personal or sensitive information about staff or customers before it becomes part of a shared, searchable wiki.
