Turn on Stock Control, what it needs from your POS setup, and the first-run checklist.

Getting started with Stock

Stock Control tracks ingredients from supplier delivery through to what a customer orders, so you always know what you have, what's coming, and what to order next.

Turning it on

An owner or admin turns Stock on from Settings, under Modules. Once it's on, a new Stock area appears in your admin navigation alongside your existing POS admin.

What it needs from your POS setup

Stock reads your existing product catalogue — you don't recreate your menu. When you open Stock for the first time, it already knows about every product you sell; nothing needs to be imported or set up twice.

Team members need the right permission to see Stock — the same roles and permissions you already use for the rest of your admin apply here, so there's no separate user list to maintain.

The first-run checklist

Work through these in roughly this order:

  1. Product Mapping — link your products to ingredients or recipes so sales actually reduce stock. See Mapping products to ingredients.
  2. Ingredients and Suppliers — check the ingredients that came from your product mapping have sensible units, costs and suppliers attached, and set a par level (the amount you want to always have on hand) for the ones you want automatic reorder suggestions for.
  3. Invoice Inbox, if you want invoices captured automatically from your supplier emails — see Managing invoices.
  4. Xero Export, if you use Xero — see Exporting to Xero.
  5. AI & Automation — review each automated task and turn up autonomy only where you're comfortable. Nothing starts out acting on its own: every task begins by suggesting and waiting for you. Some tasks are a simple On/Off switch because suggesting is all they will ever do; the rest can be turned up once you trust them. See AI and automation in Stock.

None of these are strictly required before you start using Stock day to day — Product Mapping is the one that matters most, because until a product is mapped, selling it won't move your stock numbers.
